Use live captions and translated captions in Microsoft Teams

If captions are missing in a Teams meeting, the cause may be a control, a spoken-language setting, a license or an organization policy. Installing another tool should not be the first response. Check what the meeting already supports and verify it from an attendee account as well as the organizer’s screen.

By StreamTranslate · Updated

Teams offers built-in live captions, while translated captions depend on eligible licensing and meeting or event settings. Use Microsoft’s current instructions for your version. StreamTranslate does not claim a native Teams integration; a separate streaming workflow is not the same as captions inside a Teams meeting.

Distinguish captions, translation and a transcript

Same-language captions help participants read what is being said. Translated captions change the language of that text. A saved transcript is a separate record. Microsoft states that Teams does not save live captions as a transcript merely because someone turned them on; transcription must be enabled through its own workflow.

Decide which of these you need before the meeting. If the purpose is real-time access, a recording available afterward does not replace it. If the purpose is keeping minutes, visible live captions alone do not prove that an approved written record will be available later.

Check the meeting’s caption and language controls

Open the meeting’s caption controls from the meeting actions and inspect caption settings. Confirm the meeting’s spoken language, then adjust the available appearance controls for comfortable reading. If translation is available, choose the desired reading language there. Follow Microsoft’s current guide because labels and permissions differ by client and meeting state.

Test using an ordinary sentence rather than a whispered microphone check. If one person’s words are absent while others appear, inspect that person’s audio path. Changing the caption font will not repair a muted or disconnected microphone.

Verify licenses with the real organizer

Microsoft documents translated meeting captions through eligible Teams Premium or Microsoft 365 Copilot licensing. Organizer and individual participant eligibility affect who can use translation. Events can also have organizer-selected attendee languages. Ask the administrator to confirm the arrangement for the actual account creating the meeting.

Create a rehearsal invitation using that organizer and join as a representative attendee, including a guest if guests will attend. Do not test only with an administrator account that has extra entitlements. Capture the observed availability without copying confidential meeting content into screenshots or support tickets.

Plan for shared rooms and remote speakers

  1. Test the room microphone from the farthest normal speaking position.
  2. Include a remote participant and confirm their speech appears too.
  3. Check speaker overlap and agree on a chairing approach for questions.
  4. Inspect captions on the attendee device size that will actually be used.
  5. Confirm the fallback contact if a participant cannot access captions.

A single shared-room microphone may hear the person nearest the device much more clearly than others. Repeat questions through the room microphone when appropriate, and avoid assuming that automated captions can separate simultaneous conversations.

Keep any external caption route clearly scoped

If you are producing a separate public webcast of the event, StreamTranslate’s documented OBS and YouTube routes may be relevant to that broadcast. They do not automatically insert captions into every participant’s Teams client, and a Browser Source visible in an OBS scene is not a native Teams caption track.

Review the meeting’s permissions and confidentiality requirements before routing audio to another service. Use only an approved capture path with the intended audience output. If the native meeting feature already meets the need, avoid adding an extra audio route that nobody is assigned to monitor.

Quick answers

Why does one attendee see translation while another does not?

Check organizer and participant licensing, meeting type, client support and organization settings. Rehearse with the affected account rather than assuming the organizer’s view applies to everyone.

Are live Teams captions automatically saved?

Microsoft distinguishes live captions from transcription. If you need a saved record, check the separate transcription workflow and the permissions that govern it.

Can StreamTranslate’s OBS plugin turn on Teams captions?

No. Its role is supplying audio to StreamTranslate’s caption workflow. Teams’ native caption controls and licensing are separate.
